Digital reception in a retirement home
One of our recent success stories is a complete digital reception project for Woonzorg Flevoland, a senior care facility with multiple buildings. The institution faced several challenges:
- A shortage of staff to assist visitors and residents with directions.
- A complex building layout that made navigation difficult.
- The need to link their resident and room database for real-time information.
- No physical receptionists at critical entry points.
- Insufficient signage, making navigation difficult for visitors.
- The need for secure integration with Nedap ONS to protect sensitive data.
- Different workflows for various visitor groups, such as family members, delivery personnel, and meeting guests.
- Staff frequently interrupted by visitors asking for directions.
These challenges are common in healthcare facilities. So we are happy to share more details about the digital reception solution we developed for Woonzorg Flevoland. Every organization operates in a unique environment, so a one-size-fits-all solution doesn’t work. That’s why we always adapt our digital reception systems to our customers’ specific needs.

Primary Function
Based on the challenges mentioned above, we focused on key interface components that meet the important requirements.
Visit a resident
New visitors often struggle to find their way in the nursing home. To ensure a smooth and no-stress experience, we designed customized workflows for different types of visitors. This allows each guest to quickly and easily find the right route without confusion.
Find a common room
The facility already had a wayfinding system, but it was often unclear or not visible to visitors. We addressed this issue by enhancing the navigation, making it simpler, smoother, and more intuitive. Visitors can now effortlessly find their way to common areas.
Find a meeting room or office
Employees and external partners need quick access to meeting rooms and offices. We’ve also implemented this function into the digital reception. Simply tap on the desired meeting room or office and receive directions.
Package delivery
When delivering a package, you have tree options:
- The parcel is for the Woonzorg Flevoland organization, directions are shown to find the location where to drop off the package.
- The package is for a resident and requires a signature, enter the person’s name to find the location.
- A signature is not required, you will be shown directions where to drop off the parcel.
Multi-language
Woonzorg Flevoland welcomes visitors who speak different languages. Instead of limiting the system to Dutch and English, we have also added French and German at the customer’s request. If necessary, we can expand the language options to accommodate the preferences of other visitors.
Integration with Nedap ONS
- Synchronizes resident data (names and room numbers) in real time.
- Enables a smart search function, allowing visitors to find residents by entering just a few letters of their name.
- Generates wayfinding instructions based on room numbers stored in Nedap ONS.
- Implements advanced data protection measures to ensure resident privacy.
- Automatically updates as soon as resident information changes in the primary system.
Wayfinding and digital reception
Our solution includes a custom wayfinding algorithm that converts room numbers from Nedap ONS system into clear directions. It guides visitors from the digital reception to their destination and dynamically adapts to:
- Building floor plan
- Elevator and accessible routes
- The visitor type, age and physical ability
